3. WHICH DATA DO WE PROCESS AND WHY?
a. Contact form
In the contact form we ask for your first name, last name, e-mail address, phone number and your message. We use this data to answer your question or request, by e-mail or by phone.
b. Downloading the product catalog or other files
To download a file we ask for your name and e-mail address. We use this data to send you the file and, where relevant, to contact you about your interest in our products.
c. Website visit: analytical and marketing cookies
Only if you give consent via our cookie banner do we collect data about your visit using Google Analytics (analytical), HubSpot and Leadinfo (marketing). This includes, for example, your IP address, device and browser information, pages visited and, for Leadinfo, the company associated with your IP address. Without your consent these services are not loaded. Read more in our cookie notice.
d. Spam protection (Google reCAPTCHA)
To protect our forms against spam and abuse we use Google reCAPTCHA. reCAPTCHA analyses your interaction with the website (such as IP address, browser information and mouse movements) to distinguish people from bots. This is necessary for the secure operation of our forms.
e. E-mail and phone
If you contact us by e-mail or phone, we keep your contact details and the content of your message for as long as necessary to handle your request.
4. ON WHAT LEGAL BASIS DO WE PROCESS YOUR DATA?
- Consent: for analytical and marketing cookies. You can withdraw your consent at any time.
- Performance of a contract or pre-contractual steps: for answering requests and sending downloads.
- Legitimate interest: for securing our website and forms (spam protection) and following up on contact requests.
5. HOW LONG DO WE KEEP YOUR DATA?
- Submissions via forms on the website are automatically deleted from the website after a maximum of 2 (two) months.
- The e-mail we receive from a form submission is kept for as long as necessary to handle your request and any follow-up questions.

6. WITH WHOM DO WE SHARE YOUR DATA?
We do not sell your data to third parties. We only provide your data to third parties where necessary for our services or where we are legally obliged to do so. We work with the following processors and service providers:
- BlackDesk (Netherlands): management and hosting of the website.
- Google Ireland Ltd.: Google Tag Manager and Google Analytics 4 for visitor statistics (only after your consent), and Google reCAPTCHA for spam protection.
- HubSpot Ireland Ltd.: marketing and CRM software, only after your consent. We use HubSpot’s European data centre.
- Leadinfo B.V. (Netherlands): identifying business visitors based on IP address, only after your consent.
Where required by law, we have concluded data processing agreements with these parties. Google and HubSpot may process data in the United States. For visitors from the European Economic Area this transfer is based on the EU-US Data Privacy Framework and/or the standard contractual clauses of the European Commission.
7. YOUR RIGHTS
You have the right to ask us for:
- access to the personal data we hold about you;
- correction of inaccurate or incomplete data;
- deletion of your data;
- restriction of processing;
- transfer of your data (data portability);
- objection to the processing of your data.
If you have given consent, you can withdraw it at any time. You can adjust your cookie preferences via change cookie settings. Send your request to info@molenaar-americas.com. We will respond within one month. To verify that the request comes from you, we may ask you to identify yourself.
8. SECURITY
We take appropriate technical and organisational measures to protect your data against loss or unlawful processing. Our website uses a secure connection (SSL/HTTPS), access to personal data is limited to employees who need it and is protected by username and password, and form submissions are automatically deleted after the retention period.

Do you have a complaint about the way we handle your data? Please contact us first so we can look for a solution together. If we cannot resolve it, you can file a complaint with the data protection authority in your country. For the Netherlands this is the Autoriteit Persoonsgegevens.
